The Administrative Assistant I is responsible for providing administrative support to the Facilities group and maintaining relationships with IDT’s external vendors.  


  • Assists in the monitoring and entry of data: Maintain financial reporting on projects, Prepare purchase requisitions, Collate ISO-14001 data and assist in resolving Facilities vendor’s invoice discrepancies.
  • Establishes and maintains records and filing systems
  • Maintains staff calendars by coordinating meetings and appointments, reserves meeting sites and confirms appointments
  • Receives and distributes incoming mail, inter-office information and notices
  • Coordinates with Security, Janitorial and Vending service providers to receive reports, input data and ensure vendor performance by auditing their services.
  • Interfaces with vendors and contractors to distribute and gather required certificates, notices, Material Safety Data Sheets, documents and correspondence
  • Composes, edits and distributes a variety of correspondence, reports, forms and department information
  • Oversees the maintenance and inventory of the facility’s vending machines
  • Perform all other related duties as required.



  • Associate’s degree or comparable experience required

Professional Experience:

  • Utilizes a variety of accounting, word processing, and database software applications programs, including but not limited to: AX, SharePoint, Microsoft Excel & Word required
  • Basic financial record keeping, budgeting and mathematics required
